Privacy, confidentiality & recruitment conditions

1. Privacy and confidentiality
Who manages your information
One Time Educational Consult (OTEC), Tech-Ayigya, Kumasi, and Aboabo BP branch, manages information submitted through this portal. For privacy questions, corrections, removal requests or complaints, contact info@otec.edu.gh or 0243670426 / 0533531438.
Information collected and its purpose
Teacher applications collect names, contact details, photographs, teaching profiles, qualifications, declared NTC certification details, experience, learner categories, locations and CVs. School and parent requests collect contact details and teaching requirements. Consultation requests also collect school details, requested school support, digital, teaching or assessment services, participant groups, estimated numbers and scheduling preferences. Staff record interview appointments, outcomes, decisions and follow-up notes. OTEC uses this information to assess applications, arrange interviews, match teaching requirements, contact applicants and manage recruitment.
What visitors can see
Only approved profiles with public display consent appear in the directory. Their photographs, brief profiles, qualifications, declared NTC status, experience, learner categories, salary expectations, employment preferences and locations are displayed. Their uploaded CVs can be viewed or downloaded. The application email, phone number and NTC licence number are not displayed as separate public fields; however, any of these details included inside a CV will be visible to people downloading it.
Upload a CV prepared for public viewing. Remove Ghana Card or passport numbers, bank details, full residential addresses, signatures, private referee contact details without permission, and information about learners. Documents not submitted for public display remain available only for authorised recruitment handling, unless disclosure is required by law or separately authorised.
Staff and visitor confidentiality
Staff must use applicant, school, parent and learner information only for authorised duties. Schools, parents and other visitors may use profiles and CVs only to assess legitimate teaching opportunities. They must not sell, repost, impersonate, harass, discriminate against or exploit applicants, or use their information for unrelated marketing. Do not upload confidential learner records, photographs of learners or third-party documents without appropriate permission.
Storage, access and retention
Authorised OTEC staff handle private application records and recruitment notes. The portal uses hosting and storage service providers to operate its records and uploads; technical processing may occur outside Ghana. Public documents may be copied or downloaded by visitors, and OTEC cannot retrieve copies already held by other people.
OTEC should retain records only while needed for recruitment, agreed services, lawful record keeping or resolving disputes, and review records for correction or removal. Privacy requests may require proportionate identity checks. Removing an approved profile stops further public display through the portal, but does not automatically remove third-party copies or records that must lawfully be retained.
Your choices and requests
You may contact OTEC to request access, correction, withdrawal of public display consent, restriction or removal of your information. State your name, the email used for your application and the change requested; do not email identity documents unless OTEC explains why they are needed. OTEC will assess requests and explain any lawful reason for retaining particular records. You may raise unresolved privacy concerns with Ghana’s Data Protection Commission.
Public display consent does not authorise OTEC to use photographs or documents in advertisements or on other social media pages. Separate permission is needed for those uses. 2. OTEC recruitment and deployment conditions
Purpose of the portal
OTEC receives teacher applications, reviews profiles, arranges interviews and helps schools and parents identify suitable teachers. A stated salary expectation is a teacher’s preference, not an agreed wage or guarantee. An application, approved listing, teacher selection or interview is not a guarantee of employment, placement, salary, availability or appointment.
Teacher responsibilities
Teachers must provide accurate qualifications, experience, NTC status and documents; notify OTEC of material changes; attend confirmed interviews or give reasonable notice; and act professionally. Forged documents, false claims, misconduct or misuse of the portal may lead to rejection, removal or referral to the appropriate authority where justified. Teachers must respect confidentiality, protect learners and follow the applicable professional and safeguarding requirements of their engagement.
School, parent and guardian responsibilities
Requesters must provide accurate information about the role, location, learner categories, working hours and requirements. They must treat teachers fairly, maintain a safe teaching environment, protect private information and fulfil any agreed payment obligations. A parent or guardian must oversee arrangements involving a learner who is a minor.
Written agreement before deployment
Before a teacher begins work, the relevant parties must confirm the role, employer or contracting party, start date, duties, hours, location, remuneration, payment dates, duration, confidentiality, safeguarding responsibilities and termination arrangements in a written agreement. OTEC’s role and any continuing responsibilities must be expressly stated. Submission through this portal does not itself make OTEC the teacher’s employer.
Fees and service scope
Any recruitment or deployment fee, payment timing, cancellation, refund or replacement condition must be disclosed and agreed in writing before payment. No salary deduction, automatic recurring charge or replacement guarantee is created by these portal terms. Teacher deployment does not include school consultation, management or administrative services unless separately agreed in writing.
Consultation Services
School Supervision, School Management, In-Service Training, School Websites, School Management Software, Results Checking Portals, Lesson Plans, Schemes of Work and Assessments (end-of-term, mid-term and mock examinations) are requested separately from teacher deployment. Submission is an enquiry, not a confirmed booking. OTEC and the school must agree the service scope, training topics, participants, location, schedule, deliverables, fees and cancellation arrangements in writing before the service begins. Avoid including identifiable learner records in a consultation request.
Paid past-question downloads
OTEC-uploaded past questions are charged per listed subject paper: GH₵20 for core subjects and GH₵10 for elective subjects. Select the examination category, year and subject before requesting access. OTEC will provide payment instructions and verify payment before enabling the download. Keep your access code private; it grants access to the purchased document. Contact OTEC with your request number for payment, file-access or incorrect-file concerns. Access may be revoked if payment is invalid or reversed. Downloads are for personal teaching or study use; redistribution or resale requires the rights holder’s permission. OTEC administrators must have permission to distribute uploaded materials. Interviews and verification
Interview appointments recorded here require confirmation with the teacher. A reviewed profile means OTEC has approved it for listing; it does not automatically certify every claim or guarantee teaching quality. NTC status shown publicly is teacher declared. Verification of qualifications, licences, references and suitability must be completed for the relevant appointment.
Ending an arrangement and resolving concerns
Changes, cancellation, resignation, termination and replacement requests must follow the specific signed agreement and applicable law. Report concerns promptly to OTEC with relevant facts. The parties should first seek a fair resolution through discussion, without limiting lawful complaint or dispute-resolution rights. Nothing in these terms excludes duties or rights that cannot lawfully be excluded.
Changes to these conditions
OTEC may publish updated conditions with a new version date. Material changes to the scope of public disclosure require renewed permission. A separately signed recruitment or deployment agreement governs its specific commercial terms, subject to applicable law and privacy obligations.
3. Teacher agreement to public display
The application form asks for two separate choices:
- Required agreement: acceptance of this privacy notice and OTEC recruitment conditions, and confirmation that the submitted information and documents are accurate and provided with permission.
- Optional public display consent: permission to publish the teacher’s photograph, brief profile, qualifications, NTC status, experience, learner categories, salary expectation, employment preferences and location, and to make the uploaded CV available for public viewing and download after approval.
Leaving the public display box unchecked keeps the application private for OTEC review. Agreeing permits publication only for recruitment on this portal; it does not transfer ownership of the photograph or documents. You may ask OTEC to withdraw public display consent at info@otec.edu.gh. OTEC records the terms version, acceptance time and publication choice with new teacher applications.
